1. Introduction

Apex Roof Solutions is the operating name of 2713149 Alberta Inc. (“Apex Roof Solutions,” “Apex,” “we,” “us,” or “our”), a roofing contractor based in Carstairs, Alberta, serving Calgary and surrounding communities. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit apexroofsolutions.com (the “Website”), request a roof estimate, contact us, or use our roofing services.

We handle personal information in accordance with Alberta’s Personal Information Protection Act (“PIPA”), the federal Personal Information Protection and Electronic Documents Act (“PIPEDA”) where it applies, and Canada’s Anti-Spam Legislation (“CASL”). “Personal information” means information about an identifiable individual.

By using the Website or providing us with your personal information, you consent to the practices described in this policy, to the extent that consent is required by law. If you do not agree with this policy, please do not use the Website or provide us with your personal information.

2. Who Is Responsible for Your Personal Information

The Privacy Officer can answer questions about how your personal information is collected, used, disclosed, and stored — including how it is handled by service providers located outside Canada (see Section 8).

3. Personal Information We Collect

We collect only the personal information we reasonably need to provide estimates and roofing services, run the Website, and operate our business. Depending on how you interact with us, this may include:

  • Contact information — your name, email address, phone number, and mailing or property address;
  • Estimate and project information — the property address you provide, roof measurements and characteristics (including measurements generated from aerial or satellite imagery when you use our instant roof estimator), the services you are interested in, photos of your roof or property, and the estimates, quotes, and project records we prepare for you;
  • Insurance claim information — if you ask us to help with a hail, storm, or other insurance claim — your insurer’s name, policy and claim numbers, adjuster contact details, and related claim documentation;
  • Payment and billing information — billing address, invoice history, and payment details. Card and electronic payments are handled by our payment providers; we do not store complete card numbers on our systems;
  • Communications — emails, text messages, form submissions, phone call records (see Section 10), and any reviews or feedback you provide;
  • Website and technical information — IP address, device and browser type, pages visited, referring source, and how you interact with the Website, collected through cookies and similar technologies (see Section 6), including advertising click identifiers.

Please do not submit sensitive personal information (for example, government identification numbers, health information, or financial account credentials) through the Website. If a project requires such information, we will collect it directly and only as needed.

4. How We Collect It

  • Directly from you — when you complete a form or the instant roof estimator on our Website, call, email, or text us, or speak with us on site;
  • Automatically — through cookies, analytics, and advertising technologies when you browse the Website (see Section 6);
  • From service providers acting on our behalf — for example, when you contact us through Google Ads, Google’s Local Services Ads, or our Google Business Profile, Google passes your inquiry details to us; our estimating platform (Roofr) generates roof measurement data from the address you provide;
  • From third parties you involve — such as your insurance company or adjuster (with your authorization), or a realtor or property manager acting on your behalf.

5. How We Use Your Personal Information

We identify the purposes for collecting personal information at or before the time of collection, and we use it only for those purposes or as otherwise permitted or required by law. Our purposes include:

  • preparing and delivering instant and detailed roof estimates and quotes;
  • scheduling, performing, and managing roofing projects, site visits, inspections, and warranty service;
  • communicating with you about your inquiry, estimate, project, invoices, and warranty;
  • assisting with insurance claims at your request;
  • processing payments and maintaining business, accounting, and tax records;
  • operating and improving the Website and measuring how visitors find and use it;
  • advertising our services, including measuring which ads lead to real inquiries and projects (see Section 6);
  • sending marketing communications where permitted (see Section 9); and
  • meeting legal, regulatory, safety, warranty, and insurance obligations, and establishing or defending legal claims.

6. Cookies, Analytics, and Online Advertising

The Website uses cookies and similar technologies. Some are essential to make the Website work; others help us understand and improve how the Website performs:

  • Google Analytics — we use Google Analytics to understand how visitors use the Website (pages visited, time on site, general location, device type). This information is aggregated and does not identify you by name.
  • Advertising measurement — we use Google Tag Manager and Google Ads conversion tracking to measure whether visits from our ads lead to estimate requests, calls, or form submissions. These tools use cookies and click identifiers set when you click one of our ads.
  • Remarketing and ad personalization — where enabled, Google may use cookies to show you our ads on other websites based on your previous visits to the Website. You can opt out of personalized advertising at adssettings.google.com.
  • Conversion measurement using contact details — when you request an estimate or become a customer, we (or our marketing agency acting on our behalf) may securely share limited information — such as a hashed (encoded) email address or phone number, or the fact that an inquiry became a project — with Google to measure which advertising actually results in work. This information is used for measurement and is handled under Google’s privacy terms.

You can manage or delete cookies through your browser settings, opt out of Google Analytics using Google’s opt-out browser add-on (tools.google.com/dlpage/gaoptout), and learn how Google uses data from sites that use its services at google.com/policies/privacy/partners. Blocking some cookies may affect how the Website functions.

7. When We Share Personal Information

We do not sell or rent personal information. We share it only as described below:

  • Service providers — companies that perform services for us and are permitted to use personal information only for those services, including: Roofr (our roof estimating and customer management platform, which powers the instant estimator, our quotes, lead and job tracking, and our tracking phone number); Google (analytics, advertising, Local Services Ads, Business Profile, and business email); Zapier (which securely moves lead and job data between our systems); Automattic / WordPress.com (website hosting); our payment processing and bookkeeping providers; and Welby Consulting, the marketing agency that manages our Website and advertising on our behalf, together with the tools it uses to do so;
  • Your insurer or adjuster — with your authorization, we share project and claim information with your insurance company or adjuster to support your claim;
  • Financing providers — if you apply for financing through a provider we refer you to, your application goes directly to that provider and is governed by its own privacy policy;
  • Professional advisors — lawyers, accountants, and insurers, where reasonably necessary;
  • Legal and safety — where required or permitted by law — for example, in response to a court order or subpoena, to a regulator, or where necessary to protect the rights, property, or safety of any person;
  • Business transactions — if our business or assets are sold, merged, or reorganized, personal information may be disclosed to a prospective purchaser under confidentiality obligations and transferred as part of the transaction, as permitted by PIPA.

8. Where Your Information Is Stored — Service Providers Outside Canada

Some of the service providers listed above — including Google, Roofr, Zapier, and Automattic/WordPress.com — store or process information on servers located in the United States and other countries. While your information is outside Canada, it is subject to the laws of those countries and may be accessible to courts, law enforcement, and national security authorities there under lawful process.

As required by Alberta’s PIPA, you may contact our Privacy Officer (Section 2) with questions about our collection, use, disclosure, or storage of personal information by service providers outside Canada, and about their policies and practices.

9. Marketing Communications

We send commercial electronic messages (such as promotional emails or texts) only where we have your express or implied consent under CASL. Every marketing message identifies us and includes a working unsubscribe mechanism, and we process unsubscribe requests promptly — and in any event within 10 business days.

Messages about your estimate, scheduled work, invoices, warranty, or safety are service communications, not marketing, and we may send them even if you have unsubscribed from marketing.

10. Phone Calls, Text Messages, and Recordings

Calls to the phone numbers shown on our Website and advertisements may be routed through a call-tracking number provided by our estimating platform. We log call details — the number, date, time, and duration — for customer service and to measure which advertising generates inquiries. Where a call is recorded or monitored, you will be informed at the beginning of the call. Text messages exchanged with us are retained as part of your project communications.

11. How Long We Keep Personal Information

We keep personal information only as long as reasonably needed for the purposes described in this policy and to meet legal and business requirements. For example, financial and tax records are generally kept for six years as required by the Canada Revenue Agency; project and warranty records are kept for the life of the applicable warranty and any legal limitation periods. When personal information is no longer required, we securely destroy, erase, or anonymize it.

12. How We Protect Personal Information

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including limiting access to those who need it, protecting business accounts with strong authentication, serving the Website over an encrypted (HTTPS) connection, and using reputable service providers with their own security programs. No method of transmission or storage is completely secure, so we cannot guarantee absolute security; please use judgment when sending information by email or text.

If a security breach involving personal information creates a real risk of significant harm, we will report it to the Office of the Information and Privacy Commissioner of Alberta and notify affected individuals as required by law.

13. Your Rights: Access, Correction, and Withdrawing Consent

Subject to limited exceptions in PIPA and PIPEDA, you have the right to:

  • Access — request access to personal information about you in our custody or control, along with information about how it has been used and disclosed;
  • Correction — request correction of errors or omissions in your personal information;
  • Withdrawal of consent — withdraw your consent to our collection, use, or disclosure of your personal information at any time, on reasonable notice, subject to legal or contractual restrictions. Withdrawing consent may limit or prevent our ability to provide you with estimates or services, and we will explain the consequences when you ask.

To exercise any of these rights, contact our Privacy Officer in writing (Section 2). We may need to verify your identity before responding. We respond within 45 days as required by PIPA, and if a permitted fee applies to an access request, we will provide an estimate before proceeding.

14. Children’s Privacy

The Website and our services are directed to adults — property owners and managers. We do not knowingly collect personal information from anyone under 18 without the consent of a parent or guardian. If you believe a minor has provided us with personal information, contact our Privacy Officer and we will delete it.

15. Links to Other Websites

The Website may link to third-party websites, such as Google review pages, financing providers, or social media. Those sites are governed by their own privacy policies, and we are not responsible for their practices. We encourage you to review the privacy policy of any site you visit.

16. Changes to This Policy

We may update this Privacy Policy from time to time. The revised version will be posted on this page with an updated “Last updated” date, and material changes will be highlighted with a notice on the Website. Your continued use of the Website after changes are posted means you accept the updated policy, to the extent permitted by law.
